If you’ve worked in hotel finance, you’ve felt the pain of disconnected systems. An invoice gets approved in one platform, then entered into another. Vendor records don’t match, coding needs to be checked, and someone (you) has to double-check that everything is posted correctly. Working across dozens of properties and thousands of invoices can feel like detective work (and not the fun kind). The repetitive tasks add up quickly to many hours of extra work and not enough time to focus on strategy and guest experience.
We built Folio to help ensure that all your systems talk to one another. And with our new partnership with M3, a leading accounting system for hotels, we’re able to make hotel finance operations even simpler.
Making it official
M3 is laser-focused on hospitality. They are already at the center of the accounting operation for thousands of hotels. For many of the operators we work with, it’s a system at the core of their financial processes. That’s why Folio has always worked with M3. But now, we’re ramping things up with an enhanced integration.
The idea is simple and obvious. If Folio is handling purchasing, invoices and other procure-to-pay activities, hotel teams shouldn't have to spend their time moving that information into their accounting system. The systems should take care of that for them automatically.
Live in hours
Here’s how it works. First, operators can reach out to M3 for access. Then, Folio spins up a custom e-commerce storefront syncing your entities, vendors and GL codes, with embedded guidance for how to link up your suppliers. Next, you can auto-forward your accounting inbox and teams can start processing invoices. All you need to do is onboard your users and configure your approval workflows. No lengthy setup process. No recreating information that already exists in M3. It just works.
From there, the connection continues working in both directions. Approved invoices can post directly into M3 (with invoice images!), while journal entries and ledger information synchronize between the platforms for automatic reconciliation. The integration also supports speedy inventory accounting. For the people actually doing this work every day, the benefit is straightforward: less manual entry, less reconciliation and fewer opportunities for something to get lost between systems.
Why this integration matters
Hotel technology has come a long way in recent years, but adding another piece of software doesn’t automatically make a process easier. In fact, every new system has the potential to create another place where information has to be entered, checked and reconciled. We think the better approach is to make the systems hotels already depend on work together more effectively.
That’s particularly important in finance, where accuracy matters and where a seemingly small inefficiency gets multiplied across every invoice, vendor, and property in a portfolio. A well-designed integration should remove steps from the process. That’s exactly what we wanted to accomplish with M3.
M3 has spent more than 25 years focused specifically on hospitality, and we built Folio with that same industry focus. We both understand that hotel finance has its own workflows, pressures and complexities, especially for management companies operating multiple properties and entities. That shared understanding made this partnership a natural fit.
We’re just getting rolling
The integration gets you access to best-in-class automations, in a way that works automatically with your existing systems. But we are at the early innings of a new age of agentic commerce and agentic AP and what it can do to help your properties. We’re also thinking about what comes next, including enhancing our M3 integration to support Folio Pay and Folio Expense in the same connected financial workflow.
